Using an External Email Service

If your domain uses an external email service, such as Google Workspace or Microsoft 365, and you have already pointed your email to the external service using MX records, you should disable the local incoming mail service on your Hostaan server.

If you have already redirected your emails to an external service using MX records, you should also disable the local mail service following the instructions below.

This is important because contact form submissions on your website are sent from the server. If the local mail service is enabled, the server will try to deliver these messages locally instead of sending them to your external email service.

Typical problem:

When a contact form on your website sends a message to info@example.com, and example.com uses Google Workspace, but the local mail service is enabled:
  • The message is delivered to a mailbox on the server (or nowhere, if no mailbox has been created on the server)
  • The external email service (Google Workspace) never receives the message
  • The message never arrives

Solution:

Disable the local incoming mail service in Hostaan Plesk control panel:
  1. Log in to Plesk control panel
  2. Go to Mail → Mail Settings
  3. Click on your domain and select Mail Server Settings for This Domain
  4. Choose "Mail is hosted externally ( MX records are used for this domain )" and click OK/Save

Note:

If your domain uses Hostaan's own email service, do NOT disable the local mail service. In this case, the server correctly receives your emails.
