Using SoGo Webmail - Email and Calendar

After creating an email account and address from the Plesk control panel, you can read and write your emails through the webmail interface without separate email programs. The interface works on both computers and mobile devices.

In addition to the Roundcube application, we also use SoGo webmail as a webmail, which you can log in to depending on your server:

You can log in to SoGo webmail by entering the email address in the username field and the password you have defined for that email address (Note: this is different from your Plesk password). Finally press '>' and you will access your webmail email as follows:




In this view, you can see your email's different folders in the left sidebar (including inbox, drafts, sent, trash), the messages of the selected folder in the middle, and the content of the currently open message on the right.

In the middle panel, you can also search, filter and sort messages - including by size or date (default sorting).




SoGo's webmail view is responsive, so you can also use webmail directly on mobile devices. In this interface, you can read incoming messages by clicking on the message title. After opening a message, you can reply, forward, or delete it by clicking the action buttons in the upper right corner.


You can also write completely new messages by clicking the 'pen icon'. After clicking the pen icon, first choose whether you want to open message composing in a completely new browser window or whether you want to write the message in the same window.



If you choose to write the message in the same window, the following view will open where you can write the message. 


Enter the recipient's/recipients' email address in the Recipient field and a descriptive title for your message in the Subject field. If necessary, you can add attachments to the message using the "attachment" button in the lower right corner of the message writing window (the maximum recommended file size is a few megabytes).

By pressing the "arrow" icon in the upper right corner of the writing window, the message will be sent to the recipient.



SoGo webmail settings and features



To get the most out of SoGo, you should also go through the following settings:


  • Edit your webmail identity by going to the settings menu from the "gear" in the left sidebar -> Mail -> IMAP ACCOUNTS -> click the pen icon -> from the "Identities" section click your email address. On this page, you can define your name that appears in connection with email sent through webmail, your email address, and optionally also a reply address. You can also define a signature for the identity, which will be displayed at the end of every message you send. (The signature can include, for example, your greeting, name, and contact information). Remember to save the settings at the end.

  • You can create multiple identities if necessary using the New Identity button. You can then also send email with an alias address for your email address, for example.

  • When replying to messages, the location of your signature and reply is determined by 'Settings' -> 'Mail' -> 'General' -> 'And place my signature' page settings. Choose 'Below the quote' or 'Below my reply' from the dropdown menu. From the adjacent menu, you can also change whether your reply starts above or below the quote.

  • If you want to use webmail in a language other than the default Finnish, you can change this from 'Settings' -> 'General' -> 'Language'.

  • You can change the password used to log in to email by logging into the Plesk control panel with the same email credentials and password according to these instructions. Through the Plesk control panel, you can also manage the vacation responder function from 'Change email account settings' -> 'Automatic reply'.

SoGo webmail calendar - tasks and events

When you click on the "calendar" icon in the upper right corner of the page, you can access your SoGo calendar. Here you can add and edit events and tasks.

You can add a new event by pressing the + button or by painting a suitable time window for the event from the calendar.

You can return to email or address book from the icons in the upper right corner.



When you click "Create Event", the following view opens:

Fill in at least "Title", "Description", select the event time window. If you want, you can also invite participants, in which case the invitees will receive an email invitation to the event.

You can also make the event recurring, for example weekly, and add reminders.


You can also create events directly from incoming emails by clicking the three dots at the top of the incoming message.


SoGo webmail shared calendars

You can create a new, shared calendar by clicking from SoGo's left sidebar "Calendars" -> "+"

Then give the calendar a name, in this example "testijaettu" (testshared). After the calendar is created, it still needs to be shared with the people you want.


Click the three dots for the calendar and select "Sharing...". Note: The calendar can only be shared with email addresses within the same organization (domain).


Fill in this field with another email address in your organization: in this example testi@hostaan.city shares the calendar with the address toinentesti@hostaan.city.



Once you have found the person you want to share the calendar with through search, define that user's rights to the calendar. Remember to check the "Subscribe user" box at the end and click save.

In this example, the user toinentesti@hostaan.city is given all rights to the calendar (including editing rights). If you want, you can also give only viewing rights to the calendar.

In this menu, you can add all users to whom you want to give rights to the calendar.


When you then create a new event and want to add it to the shared calendar, give your event a title and select the desired calendar from the dropdown menu.

For each event, you must specify separately the calendar in which it is created.

The event you create this way will be visible in the SoGo calendar to everyone with whom you have shared that calendar.

They can also edit shared events if you have given them the rights to do so.



Logging out of SoGo

You can log out of webmail by pressing 'Log out' from the upper right corner of the page.
