How to Use Roundcube Webmail?

When you have created an email address with a mailbox from the Plesk control panel, you can read and write your emails through the webmail interface without separate email programs. The interface works on both computers and mobile devices.

We use Roundcube as our webmail application, which you can log in to depending on your server from the address:

You can log in to Roundcube webmail by entering your email address in the username field and the password you defined for it. Finally press 'Login' and you will access your webmail email as follows:

The webmail view is responsive, so you can also use webmail directly on mobile devices. In this interface, you can read incoming messages by clicking on the message title - and reply to a message by clicking 'Reply'.

You can also write completely new messages by clicking 'Compose', which opens the following view:

Enter the recipient's email address in the To field and a descriptive title for your message in the Subject field. If necessary, you can add attachments to the message with the Attach a file button (the maximum recommended file size is a few megabytes). By pressing 'Send' the message is sent to the recipient.

Managing Identities

You can send email from different sender addresses by creating new identities ie. sender profiles. This is useful when you want to send mail using an email address based on your secondary domain or when you sometimes want to use your personal email address as sender and other times the company's generic email address (for example john.doe@example.com vs. support@example.com).

Edit your webmail identity by selecting 'Settings' -> 'Identities'. On this page, you can define your name, email address, organization, and optionally also a reply address that appears in connection with email sent through webmail. You can also define a signature for the page, which is displayed at the end of every message you send. (The signature can include, for example, your greeting, name, and contact information).

You can create multiple identities if necessary with the 'Create new' button. This way your can user for example your email alias address for sending mail. The sender address can be chosen as per-mail basis in the email compose view:

Other Roundcube Webmail Settings and Features

To get the most out of webmail use, you should also go through the following Roundcube webmail settings:

  • When replying to messages, the location of your signature and reply is determined by what you have set on the 'Settings' -> 'Composing messages' page. For example, select 'start new message above the quote' from the 'When replying' dropdown menu if you want the quote to be at the bottom of the message.

  • If you also read the same email address with separate email programs (Thunderbird, Outlook, etc.), you can set the folder names to match these programs' settings from 'Settings' -> 'Special Folders'. This way, for example, sent messages are saved to the same folder regardless of whether they were sent with webmail or an IMAP email program. You can find instructions for setting server settings for different programs here.

  • If you want to use webmail in a language other than the default Finnish, you can change this from 'Settings' -> 'User Interface'.

  • You can change the password used for login from 'Settings' -> 'Password' or alternatively by logging into the Plesk control panel with the same email credentials and password according to these instructions. Through the Plesk control panel, you can also manage the vacation responder function from 'Change mail account settings' -> 'Automatic reply'.

Also remember to finally log out of webmail by pressing 'Logout' from the bottom left of the page.
